# Directory Guidelines for Gender Identity & Inclusion

## Objective
Maintain a respectful, accurate, and up-to-date directory that supports and normalizes gender diversity.

## Core Rules

**Pronoun Formatting:** Include pronouns in user profiles when requested. Use standard formatting (e.g., she/her, he/him, they/them, ze/zir) in a distinct, identifiable field.

**Chosen Name vs. Legal Name:** Display the employee's chosen name by default. Surface legal names only when required by payroll/IT systems, and keep them hidden from public-facing directory views.

**Non-Binary & Inclusive Options:** Ensure drop-down fields (titles, prefixes, gender markers) include non-binary (Mx.) and non-specified options, alphabetized and treated equally alongside traditional options.

**Privacy & Security:** Never share or expose information about an employee's transition, previous legal names, or gender identity without their explicit written consent. Treat all such data as PII.

## Workflow

1. **Gather Data** — Ask the employee to confirm their preferred display name, pronouns, and department via intake form or email.
2. **Standardize Format** — Apply data to the directory template.
3. **Review** — Confirm no dead-names or unintended PII are exposed.
4. **Finalize** — Present formatted profile to HR lead or employee for approval before updating the central system.
